Privacy Policy for Our Staff Apps

Escape The Space is a live escape room venue in Athens, Georgia. We make two iPhone and iPad apps for our own team: ETS Team, the staff app for shifts, games and bookings, and ETS Phones, the business phone line for owners. This page explains what those apps collect and how we use it.

Who can use the apps

The apps are internal tools. Accounts are created by Escape The Space for our staff and owners. There is no public sign-up, and the apps do nothing without an account.

What ETS Team collects

• Your staff profile: name, email address and phone number, so we can schedule you and reach you.
• Work records: your shifts, availability, time off, clock-in and clock-out times, and the games you host.
• Messages and notes: team messages, shift notes and issue reports you write in the app.
• Photos you choose to add: for example a photo with an issue report. The app uses the camera or photo library only when you pick a photo.
• A notification token: so the app can tell you about open games and schedule changes, and let you answer from the Lock Screen.

What ETS Phones collects

• Business calls and texts: the phone numbers, text messages, call history and voicemails of our business line, including voicemail transcripts.
• Microphone audio during calls: the microphone is used only while you are on a call placed or answered in the app.
• Photos you choose to send in a text conversation.
• A notification token so incoming calls and texts reach you.

Guest information inside the apps

To run games, team members see booking details for our guests, such as names, party size, booking times, waiver status and contact details. This comes from our booking system, not from your phone. It is used only to serve those bookings and is covered by the same promises on this page.

What we do not collect

• We do not use advertising or analytics tracking in either app.
• We do not collect your location.
• We do not read your contacts, other apps or your personal messages.

How we use it

We use this information only to run Escape The Space: scheduling and paying our team, hosting games, answering guests, and keeping the venue safe. We do not sell, rent or share it for anyone else's marketing.

Who processes it for us

We use a small number of service providers to host and deliver the apps, such as our cloud hosting provider, our phone and text provider, our email provider and Apple's notification service. They process data only to provide those services to us.

Text messages and your mobile number

We do not sell, rent or share mobile phone numbers or text messaging opt-in data with any third parties or affiliates for marketing or promotional purposes. Mobile opt-in and consent are never shared with anyone for any purpose. Our text program terms are on our SMS terms page.

Keeping it safe

Data is sent over encrypted connections and stored with access limited to the team members who need it. Sign-ins are protected by a password or PIN.

How long we keep it

We keep work records for as long as we need them for payroll, tax and legal reasons. Call and text history is kept while it is useful for serving guests. When a team member leaves, their account is turned off.

Your choices

You can turn off notifications, camera, photo or microphone access at any time in your device's Settings. You can ask us to see, correct or delete your information by emailing puzzlemaster@escapethespace.com. We will answer within 30 days, and keep only what the law requires us to keep.

Children

The apps are for our employees and are not directed to children.

Changes

We may update this policy from time to time. The current version will always be posted on this page, with the date it was last updated.
